Job Description:The Executive Assistant will provide high-level administrative support to the Board, the Chief Legal Officer/Corporate Secretary and the Legal and Public Affairs teams. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, computer, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.Responsibilities:Provides support for the Board of Directors as directed by the Corporate Secretary, including building electronic board books, drafting board agendas, polling directors and scheduling board meetings, maintaining board meeting and event calendar and other Board information in Diligent, onboarding new board members, and processing of and reporting on director expenses in Workday.Provides administrative support for the Chief Legal Officer (CLO), including managing the CLO's calendar and scheduling.Provides administrative support for members of the Legal, Corporate Secretary and Public Affairs teams as needed.Maintains confidentiality of highly sensitive information.Processes vendor invoices in Workday.Implements records management and retention procedures for electronic and hard copy documents in accordance with the Bank and departmental procedures, including receiving Bank records from team members, and placing them in the Bank's Records Center.Organizes and prepares for internal and external meetings, including research and gathering of documents and attending to logistics of meetings.Flexibility to travel to attend meetings and events.Drafts correspondence and prepares and edits various documents, presentations, and reports.Makes travel arrangements for directors and executives as directed.Interacts and communicates with directors, senior management, external stakeholders, members of the Federal Housing Finance Agency, Bank team members and other to provide or request information and set meetings.Maintains contact information on various rosters and directories.Maintains department files, subscriptions, and supplies.Performs other related duties as assigned.Skills and Qualifications:Minimum five years of increasingly responsible administrative support experience is required, preferably working with executives. May substitute an Associate's degree for two years of experience or a Bachelor's degree or a Master's degree for four years of experience.Advanced knowledge of Microsoft Office (Word, Excel, and PowerPoint) products required. Diligent, Workday, eDOCS, Salesforce, and Adobe Photoshop experience a plus, but may substitute demonstrated competency in learning business applications and programs. Proficiency with other PC based information retrieval and internet search software programs and automated database systems.Excellent verbal and written communication skills required.Ability to handle confidential material in an appropriately discrete manner.Must be organized and detail-oriented and able to take initiative and follow-through on multiple assignments simultaneously.Flexibility to travel to attend meetings and events.Able to interface effectively with individuals at all levels, both within and outside the organization.Must be able to work effectively under pressure, both independently and as a member of a team, while working within tight deadlines.Notice regarding COVID-19 Vaccination Requirement: At the Federal Home Loan Bank of San Francisco, our top priority is the health and safety of our team members, our families, and the communities we serve.
